How to Decline an Invitation Gracefully
A kind refusal is more useful than a reluctant promise.

An invitation you would rather decline can feel surprisingly difficult. Would you like help finding the words?
An invitation is an offer of company, not an instruction to attend. You can appreciate it and still say no. The aim is to give the host a clear answer while treating the invitation as something worth receiving.
Answer the invitation you have
Reply within the time requested, using the method the host has provided. If your answer is already no, waiting rarely makes it kinder. A host arranging seats or food needs certainty more than an elaborate explanation.
Thank you for thinking of me. I’m sorry I won’t be able to join you, but I hope you have a lovely evening.
You may give a reason if you wish. You do not need to invent travel, illness, or another engagement to justify wanting a quiet weekend. “I won’t be able to make it” can be sufficient.
Keep warmth separate from negotiation
If the host suggests another date, distinguish a scheduling problem from a decision to decline. Repeatedly claiming to be busy can keep an unwanted negotiation going.
That’s kind of you, but I’m going to pass this time. Thank you for including me.
With a friend you do want to see, offer a specific alternative you intend to keep. Avoid suggesting lunch merely to soften a refusal and then evading every attempt to arrange it.
If you have already accepted
Changing an answer calls for more care. Tell the host directly and promptly, acknowledge the inconvenience, and apologise. Where your cancellation creates a known expense, ask about it rather than assuming it disappears with your place.
